Purpose of the Position:

The People & Culture Coordinator is a valuable administrative resource that helps keep the People & Culture Team operating effectively for the organization. UMA is a nonprofit healthcare educational institution with a national presence. Headquartered in Tampa, Florida and founded in 1994, UMA offers content-rich, interactive online programs as well as hands-on training at our Clearwater, Florida campus.

  • Anticipated starting salary of $75,000; pay rate negotiable based on experience and qualifications

Key Responsibilities:

Functional:
  • Provide coordination of cross-departmental People & Culture (P&C) activities and administrative relief to People & Culture leaders on special projects
  • Manage variety of HR inboxes, and route employee inquiries to correct point person or resource
  • Help plan and execute in-person and virtual events such as team meetings, workshops, webinars, employee-recognition, wellness, volunteering, training, and engagement events
  • Prepare presentations, meeting materials, calendar invites, surveys, meeting notes, correspondence, and other forms of interdepartmental and external communication
  • Maintain HUB (intranet) pages with up-to-date event and initiative information
  • Support the tracking, workflow and storage of various manual employee processes
  • Function as liaison between People & Culture and external HR vendors — includes coordinating demos and evaluations; managing schedules and invites; and resolving availability conflicts
  • Assist with coordination of travel and accommodations for events, training, and conferences
  • Help with budget and expense management, including tracking and reconciling expenses
  • Support effective communication across People & Culture’s employee-impacting shared services
  • Maintain confidentiality and protect against the unauthorized disclosure of information
  • Provide additional cross-departmental support in the following ways:
    • Total Rewards & Wellness
      • Coordinate and manage registration of Mental Health First Aid trainings
      • Help manage vendor partnerships
      • Monitor key data sources and dashboards
      • Provide project management support for annual Care Collective Conference
    • People Operations & Talent Acquisition
      • Support administrative needs of New Employee Orientation, including attendee invitations and tracking
      • Help resolve new-hire issues during pre-boarding and onboarding
      • Manage job description catalog
      • Assist with org chart and template creation
      • Support audits of people and processes
      • Upload forms and documents into human resources information system (UKG)
      • Coordinate digital greeting cards and acknowledgements for executive and team birthdays, anniversaries, and other occasions
      • Create new job codes
      • Maintain familiarity with hiring processes and best practices of the TA team
    • Learning & Development
      • Assist in the development of training materials and resources
      • Assist with multiple L&D event aspects: create participant lists, disseminate credentials, monitor participation and completion rates, and coordinate with departmental point of contact
      • Assist in the evaluation of learning and development programs and initiatives to identify areas for improvement through survey, interviews, and focus groups
      • Maintain a library of training materials and resources, and ensure that all materials are up-to-date and readily available
      • Respond to inquiries from employees regarding learning and development opportunities and resources
Support Institutional Initiatives:
  • Keeps current with institutional goals, objectives, and progress.
  • Engages in institutional sponsored activities and initiatives as appropriate.
  • Leads with courage in support of change initiatives that impact organization.
  • Assists in coordinating efforts between departments within UMA.
Compliance:
  • Demonstrates knowledge of, and carefully follows all applicable federal and state compliance requirements and regulations including those prescribed by the Department of Education, accrediting agencies, CIE, and internal UMA policies and procedures.
  • Effectively communicates compliance requirements to students and other staff as appropriate and quickly escalates any compliance concerns to the Compliance department.

Work Experience, Skills & Abilities:

Minimum Requirements:
  • High School degree or equivalent
  • 5+ years’ experience in a corporate administrative role, preferably in an HR capacity
  • Rock-solid capabilities in Microsoft Office — specifically, PowerPoint, Outlook, Word and Excel
  • Naturally tech-savvy and consummate learner; ability to self-teach on new software
  • Excellent verbal and written communication skills
  • Polished interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy
  • Comfortable with being at the forefront of organizational change; a consummate cheerleader of continual improvements and “progress over perfection”
  • Adept at shifting priorities to accommodate changing needs from multiple leaders
  • Highly organized with strong attention to detail, excellent time management and the ability to effectively prioritize
  • Promote and maintain an ethical, positive, and safe working environment and culture
