Special Officer [Malaysia]


 

1. Manage and organize supervisor schedules, appointments and meetings. 2. Handle phone calls, emails and correspondence on behalf of supervisors. 3. Drafting and preparing documents, reports and presentations. 4. Maintain filing systems, both physical and digital, to ensure efficient record keeping. 5. Coordinate travel arrangements and travel schedules for supervisors. 6. Take meeting minutes and distribute them to the relevant parties. 7. Assist with general administrative tasks such as photocopying, scanning and filing. 8. Conduct research and prepare briefings on specific topics for supervisors. 9. Assist in the development and implementation of special projects or initiatives. 10. Act as a liaison between supervisors and various departments or external stakeholders. 11. Coordinate and organize special events, meetings or conferences. 12. Handle confidential information with discretion and ensure its security. 13. Monitor and follow up on action items or tasks assigned to supervisors. 14. Provide support in preparing reports, presentations or proposals for senior management. 15. Other responsibilities: 16. Maintain effective communication and collaboration with colleagues and stakeholders. 17. Prioritize and manage multiple tasks to meet deadlines. 18. Demonstrates professionalism and maintains a positive image of supervisors and the organization. 19. Maintain up-to-date information on relevant industry policies, procedures and trends. 20. Handle ad hoc tasks or projects as needed. 21.
